How to Enable Attendance-Based Billing

Attendance-based billing allows you to charge parents based on whether or not their student was in attendance each day, using the attendance data that you are tracking through AHQ. Learn more about how to track attendance with AHQ here.

Follow the steps below to learn how to set up Attendance-Based Billing for your activity! 

Step 1. Login to your AfterSchool HQ account.

Step 2. Click on the Activities tab on the left-hand sidebar from the home page.

Step 2. Click on the Manage button next to the associated activity.

Step 3. Click on the Setup button from the top navigation bar.

Step 4. Select Pricing & Payment on the right-hand side.

• If you are creating a new activity, go through the step-by-step process of creating your activity until you get to the Pricing & Payment screen.

Step 5. On the top of the Pricing & Payment screen, you will want to set Do parents pay? to Yes which enables payments.

Step 6. Scroll to the bottom and click on the Show Advanced Settings link in green.

Step 7. Under Attendance-Based Billing Options, click the toggle button to Yes next to Attendance-Based Billing Option to enable your new payment plan. 

*Important* Coupons cannot be used for payment plans. They can only be used for registration fees.

You can now customize your Attendance-Based Billing Plan by selecting:

- The Payment Amount

- The number of days to Pre-Pay. (The amount a parent will pre-pay at checkout)

-The Payment frequency (how often the registrant will be charged for attendance, every day or week).

Step 8. Once finished, don't forget to Save!

Parents will now be billed based on your Attendance-Based Billing Plan when signing up for your activity

*Important*.

Once registration starts, providers cannot change the price for attendance-based billing. Once registration begins, the field should become locked. This helps avoid situations where prices change without the registrants knowledge.
