How to Create An Activity

Creating and publishing your activities is easy on AfterSchool HQ! Follow the steps below to make a new activity.

Step 1. Log into your AHQ account.
Step 2. Navigate to Activity Center⚡️on the left sidebar and click on Extracurricular Activities.
Step 3. Click Add Activity (If it is your first activity, you will be prompted to Create Your First Activity.).
Step 4. This will open the Settings tab within the New Activity. Here is where you add the basic activity settings such as the Activity Name, the number of seats available for registration, Invite Only mode, Students can Register For (Entire Activity or Individual Classes) and Registration Mode. Visit Understanding the Basics of the Activity Settings to learn more.
Step 5. Now you will be taken to the Restrictions setup of your activity. If applicable, you can set gender, age, and grade restrictions. Learn more about Activity Restrictions.
Step 6. Click Save & Next again to be taken to the Schedule setting. Here you can add times and dates for your Enrollment Period. (This is the timeframe you offer for parents and students alike to register to your activity.) If your activity has a schedule, change the toggle from No to Yes and learn more about How to Set up a Schedule for Your Activity. Then click Save.
Step 7. Now you get to add the fun stuff! This screen lets you add the details of your activity. Tell us why we should sign up! You can edit the font, add photos, and other marketing materials you may have. Check out, Setting up the Activity Description, for additional help.
Step 8. After you add your activity details, click Save & Next to set up Contact details for your activity. When inputting your contact information, keep in mind that this info is visible to parents. Make sure it is the phone number and email you would like them to contact. View Activity Contact Information for Schools for details.
Step 9. Save & Next will take you to the Location setting. Here you can mark the location as Physical or Virtual. To find out more, view our Location Information for an Activity article.
Step 10. You will then be taken to the Pricing & Payment options. Here you can select whether parents will pay for this activity. If so, you will be prompted to enter the Registration Fee and whether they will have the ability to pay later. Find instructions on AHQ Pricing & Payment Options here.
Be sure to have your payment connected before creating an activity with an associated cost!
You can also Upgrade Your Plan and/or view the Fee Schedule.
All activities listed, paid, and processed through AfterSchool HQ are subject to processing fees. AfterSchool HQ charges an after-school program support fee on top of each transaction, along with a transaction fee if the customer pays with a credit card. Therefore, the list price to customers will be greater than the price entered by the activity provider.
Step 11. Now you will arrive at the final step of the set-up for your activity, 'Email Content'. Here you need to include the 'Registration Thank You Email'. This will be sent when a registration has been completed for an activity while the activity is set to 'Register' mode. By clicking on 'Show Advanced Settings' you can also create a custom email for the 'Application Thank You Email'. This email is sent when the activity is set to 'Apply' mode.
Alternatively, you can use the preset "Thank you" email that we created for you!
By scrolling down, you can find the 'Page Content' section. Where you can add a detailed 'Thank You' message that registrants will see at the end of their registration.
Step 12. Click Save & Review at the bottom of the page to open a preview of your new activity!
Step 13. If you are satisfied with your preview and are ready for your activity to be published on your AHQ profile just click Publish!
Step 14. Once your activity is published, you will be able to view your Organization Homepage (where all your activities are shown) and the Activity URL (where this specific activity is shown). These are the links you would send to parents so that they can sign up for your activity!
