In this support article, we will walk you through the process of setting up a PIN code for QR code-based attendance.
Please note that not all activity providers have this feature enabled. Similarly, an activity provider may require check in/out for one activity, but not another.
Setting Up PIN During Registration
After going through an activity provider's registration form and entering your E-Signature, you will arrive at the PIN setup page.
Here you will need to enter your Cell Phone Number and a 4-digit PIN code. If you didn't include a mobile phone number during registration, you will be prompted to add one here, as well. Click Save & Continue.
Please note: The phone number is to identify you and the PIN code is for security reasons
• Next, you will be given the option to add authorized people to check in/out your student from activities. Emergency contacts that were filled in during registration will automatically appear. Click the checkbox next to their name to give them permission to check in/out your student.
You can add additional people here as well.
• To add another person, click Add another authorized person.
• Here you will need to enter their First Name, Last Name, and Mobile Phone Number. Then click on the green check mark to add them. Ensure the checkbox to the left of their name is selected, as well.
• To save their access and send them a notification text, you will have to click Save & Notify. This will send them a text message prompting them to set up their own PIN code.
• Afterward, you will be taken to the end of the registration page.
Managing Your PIN Code and Access in Your Family Account
If you already have students enrolled in an activity, and Check In/Out was enabled after the fact, you can set up your PIN code in your AHQ Family Account and also manage who else should have access to Check In/Out your child.
Step 1. Login to your AfterSchool HQ account.
Step 2. Click Profile located on the left-hand side.
Step 3. Click Check In/Out

Step 4. You will need to enter your Cell Phone Number and then enter the desired PIN Code:
Step 5. You will then need to verify your phone number by clicking Send Verification Code:
• After you have verified your phone number, that's the final step! You number will reflect as Verified:

Add Authorized Pick Up Person
To add additional authorized people, click Add another authorized person. Each student's access is managed individually, so if you want to give a person authorization for multiple students, you will need to do this for each one.
Here you will enter their First Name, Last Name, and Mobile Phone Number. Once you have finished, click the green arrow located on the right-hand side.
After saving, you have the option to Edit the contact you just added, resend the invitation, or cancel the invitation. You can only edit an authorized person's information if they have not set up their PIN Code. Once they go through the setup process, you will no longer be able to make edits (but you can revoke access).
If they do not receive the text notification or missed it coming through, click Resend Invite.
The newly added authorized person will receive a text message on their mobile device. They will need to open the link attached to set up their PIN Code.
An explanation for the text message will be provided here. They will enter a 4-digit PIN code and click Next.
They will confirm their PIN code once more.

Now when it comes time for you or another authorized parent/guardian to scan an attendance QR code to Check In or Check out your student, you'll be able to do it with no issues.
